Staff-specific price and duration, two people at once
Simple booking systems assume a service is one thing: one price, one duration. In real life, a senior specialist does the same work at a different price and a beginner needs a quarter of an hour more. Some jobs need two people at the same time. If the system doesn't know this, you end up with duplicate services in the list, the wrong duration in the calendar and manual corrections on the invoice.
Short answer: a service must have its own price and duration for each staff member, and free times, prepayment, the invoice and the POS must all take them into account. For a two-person job, the system must show only times when both are free for the entire duration, and split the commission correctly.
A staff member's own price and duration
In a NUNDINAE service, each staff member's row has two optional fields: price and duration. An empty field means the service's regular price or duration. In a car repair shop, for example, the same diagnostics can be more expensive and faster with the head mechanic; in physiotherapy, a senior therapist's session can be longer.
This affects everything that happens with the service:
- Free times are calculated using each staff member's own duration.
- The client sees, for example, "45–60 min, from €25" on the service and the exact price after choosing a time.
- Prepayment, invoice and POS use the price of the staff member the appointment is with.
So the same service doesn't have to be created twice.
How the client chooses
On the booking page the client can choose a staff member straight away. After that, the list shows only that person's services at their price and duration. On the service page, staff are shown as cards with their photo, duration and price, and only then are free times shown.
If everyone has the same price and duration, the "Anyone" option remains. With different prices it's not available, because otherwise each time would have several buttons with different prices.
Price table: all services on one page
You don't have to open each service separately to change prices. In the price table, services are listed by category with staff in columns. You mark who does what, type prices straight into the cells and save everything at once. An empty cell shows the regular price in grey.
Two-person services: two people on one job
Some jobs need two people, such as a clinic procedure with an assistant, a long beauty service or a job for two mechanics. You mark the service as a two-person service and choose at least two staff members.
- Free times: the client sees only times when at least two of the marked staff are free for the entire duration.
- Calendar: the booking appears in both columns with the partner's name.
- Cancellation: frees both.
- Moving: prefers the same pair. If one isn't free at the new time, another free staff member is taken.
- Notifications: both are told about the service.
The system chooses the pair; the client doesn't choose a staff member. The price is the service's regular price, and staff members' own prices and durations aren't used here.
What happens with commission
When a visit is invoiced, it goes correctly into the staff commission calculation:
- A service done at a staff member's price goes into their turnover.
- The amount for a two-person service is split in half, and the workload is counted for both over the entire duration.
- A service discount reduces only the service amount. Materials and products bought to take home are in a separate column.
One limitation: the even split of a two-person service works through the booking invoice. If you sell the same service directly at the POS, it goes under the one selected staff member.
When the duration changes along the way
A job can take longer than expected. In the calendar you grab the bottom edge of the booking and drag: down extends, up shortens, in steps of 15 minutes. The client and the price stay the same. On a phone and tablet this works with a finger. See also staff calendar on a phone.
Frequently asked questions
Can a service be limited to just one staff member?
Yes. In the service you mark who does it. Others aren't available to clients for that service.
Can a service be hidden online but still put in the calendar?
Yes. Untick "Client can book online". The service remains for the calendar, POS and invoice, and clients don't see it online.
Can two clients be put with one staff member at the same time?
Online, a client can't do that. A staff member can do it deliberately in the admin if the work allows, and the system asks for confirmation first.
Does this also suit a small business?
Yes. If everyone has the same prices, you leave the fields empty and everything works as in a simple system.
How would your price list fit in the system?
Send me your price list. Order NUNDINAE or ask for a demo, and I'll show it in the system with your services and staff.
